Role Overview

We are seeking an experienced and dedicated HR Coordinator to lead our Background Verification function in Pune. This critical role will oversee the end-to-end background check process, ensuring compliance, efficiency, and a seamless experience for candidates and internal stakeholders.

The ideal candidate will combine strong operational expertise with leadership capabilities, driving process excellence and acting as a Subject Matter Expert (SME) for all background verification activities.

Note: This is an HR Operations/Shared Services role and not an HR Business Partner (HRBP) position.


Key Responsibilities

Team Leadership & Management

  • Lead, mentor, and develop a team of background verification professionals, fostering a high-performance and collaborative culture
  • Oversee daily operations of background verification processes to ensure timely and accurate completion
  • Allocate tasks, manage workloads, and conduct regular performance reviews

Candidate & Stakeholder Management

  • Act as the primary point of contact for candidates regarding background verification queries and updates
  • Ensure clear, professional, and timely communication with candidates
  • Collaborate effectively with Recruiting, HRBPs, Compliance, Finance, and Legal teams to support seamless onboarding

Background Verification & Compliance

  • Review and assess background check results, identifying discrepancies, risks, or red flags
  • Escalate critical findings to appropriate HR stakeholders for resolution
  • Ensure strict compliance with regulatory requirements (e.g., FCRA and relevant local labour laws)
  • Stay updated on regulatory changes and best practices in background verification

Process Management & Continuous Improvement

  • Maintain accurate, confidential, and comprehensive records of all verification activities
  • Manage vendor relationships, including performance monitoring and invoice processing
  • Drive continuous improvement initiatives to enhance efficiency, accuracy, and candidate experience
  • Develop and maintain Standard Operating Procedures (SOPs)

Reporting & Analytics

  • Generate reports on background verification metrics, including turnaround times and compliance status
  • Analyse data to identify trends and recommend process improvements

Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or a related field
  • 7–9 years of experience in HR, with strong exposure to background verification processes
  • Proven experience in a leadership or supervisory role
  • In-depth knowledge of background verification methods and best practices
  • Strong understanding of compliance frameworks (e.g., FCRA, local labour laws)
  • Proficiency in HRIS systems and Microsoft Office Suite (especially Excel)

Preferred Qualifications

  • Experience in a fast-paced, high-volume recruitment environment
  • Experience managing third-party background verification vendors
