Fujitsu’s North America Pursuit Center is seeking a bilingual (French & English) Proposal Specialist to support the efficiency, quality, and scalability of our proposal operations. In this role, you will play a key part in enabling high-quality, compliant and compelling proposals by helping our proposal teams, strengthening our content management practices, and supporting the organization win strategic opportunities in a fast-paced, collaborative environment.

Main Responsibilities

  • Support proposal development activities for RFIs, RFPs, RFQs and other formal and non-formal solicitations, working closely with Bid Managers, Proposal Writers, and Subject Matter Experts (SMEs) to ensure compliant, high‑quality submissions.
  • Perform various activities, such as information research, filling forms, preparing response templates in various formats, formatting and proofreading documents, performing compliance checks, and final submission readiness (i.e., email or digital portal submission, paper submission, etc.).
  • Assist with procurement and opportunity research, including monitoring bid platforms, managing intake of new opportunities, and supporting initial go/no‑go documentation where required.
  • Maintain centralized reusable content libraries (e.g., past performance, resumes, project descriptions, company boilerplates, certifications, graphics, etc.), ensuring content is sanitized, current and searchable.
  • Perform content sanitization and quality control, ensuring reusable content is compliant and aligned with branding, legal and information management/security requirements before reuse.
  • Manage proposal‑related information, document repositories (e.g., SharePoint, Teams), and content management processes to support institutional knowledge sharing and reuse (including folder structure, naming conventions, version control, and archiving final submissions).
  • Support content harvesting from completed proposals, client debriefs, and from sales and delivery teams to continuously enrich proposal libraries and reduce rework in future pursuits.
  • Collaborate with Bid and Knowledge Management to improve proposal processes, templates, and tools, including automation and AI, contributing to continuous improvement initiatives within the Pursuit Center.

Qualifications

  • 3+ years of experience in a Proposal Specialist, Coordinator or Writer role or equivalent experience, in IT services, consulting or other professional services environments.
  • Bachelor’s degree in communications, marketing, business administration, project management, or a related field; equivalent professional experience may be accepted if appropriate.
  • Bilingual proficiency in English and French, including written and verbal communication, required.
  • Excellent written communication skills, with strong attention to detail for editing, proofreading, and compliance validation.
  • Ability to tailor content to various client requirements and audiences.
  • Advanced proficiency with Microsoft Office (Word, PowerPoint, Excel) and document formatting standards used in formal proposals.
  • Strong skills in information management and content organization, including hands‑on experience managing SharePoint or equivalent collaboration platforms.
  • Demonstrated ability to build, maintain, and govern reusable content libraries, including version control, tagging, and content management practices.
  • Highly organized, self‑directed, and comfortable managing multiple priorities under tight deadlines.
  • Ability to manage shifting priorities and support time‑sensitive proposal activities in a fast‑paced, high‑demand environment, with flexibility during peak submission periods.
  • Familiarity with knowledge management and proposal automation tools (e.g., proposal libraries, AI‑assisted content tools, structured content repositories) is an asset.
  • Experience supporting public sector or other highly regulated industry proposals, including compliance‑heavy RFx environments, is an asset.
  • Comfortable collaborating with colleagues across different cultures, geographies, and time zones, is considered an asset.
  • Background in research, library sciences, technical writing, or content enablement roles that emphasize findability, reuse, and accuracy/security of information, is considered an asset.

  • Fujitsu salaries are aligned to the specific geographic location in which the work is primarily performed. ​ It is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the circumstances of each situation. The pay range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to: specific skills, qualifications, experience, and comparison to other employees already in this role. The pay range for this position is estimated at $67,900 to $87,300 CAD. Additionally, this role may be eligible for a short-term incentive based on company results and individual performance.
