Role Purpose 

We are looking for a highly motivated and skilled bilingual Specialist to join our team. This role will focus on handling sensitive internal information and supporting strategic communication initiatives.
The role requires delivering timely, consistent, and dependable support to ensure smooth day-to-day operations related to structured information management and strategic communication.

 

Key Responsibilities

Manage end-to-end execution of internal communications, ensuring deliveries and defined objectives. Provide full coordination of project activities and ensure timely delivery.

  • Having experience of new business transition/migration from Japan and lead a small to mid-size team.
  • Manages the escalation process for issues and deals with the problems and issues affecting the availability of service. May establish a change in processes, standards, or practices to ensure the service provided meets requirements of the business.
  • Manages, motivates and develops a team, ensures the team achieves their objectives and to constantly improve quality of service.
  • Coordinates with Japan counterparts and acts as a bridge between clients and non-bilingual members of the team, translating instructions / documents from Japanese to English and vice versa.
  • Coordinate with internal and external teams to ensure smooth information flow and alignment with operational objectives.
  • Proven experience in a business support or project coordination role, ideally within a global company or with Japanese stakeholders.
  • Monitors own workload and/or that of the team, recognize changing priorities and manages the workload accordingly to achieve team targets and continues to provide a quality service.
  • Analysis of complex issues, both technical and non-technical, which relate to the service provided, makes a diagnosis and recommends a resolution for the project or team.
  • Manages the escalation process for issues and deals with the problems and issues affecting the availability of service. May establish a change in processes, standards, or practices to ensure the service provided meets requirements of the business.
  • Translate documents from Japanese to English, and vice-versa as needed in the projects.
  • Produce Japanese and/or English reports or documents as needed in the project.
  • Provide full coordination of project activities and ensure timely delivery.
  • Expected to offer suggestions to the teams in support of workload assignment objectives.
  • Maintains relationships both internally and externally with peers and colleagues.

 

Qualifications

  • 8–10 years of overall Japanese experience, including managing Large or mid-sized teams.
  • Bachelor’s degree in Japanese, business, IT, or a related field (or equivalent experience).
  • Strong Japanese language skills (N2 or N3 level required; N1 preferred), both written and spoken.
  • Good understanding of Best ITSM practices and Agile methodologies.
  • Experience managing in financial performance, forecasting, and reporting.
  • Strong stakeholder management, communication, and negotiation skills.
  • Ability to collaborate effectively with cross-functional teams (operations, finance, IT, etc.).
  • Experience analyzing and reporting project metrics, SLAs, dashboards, and process tracking systems.
  • Ability to work independently as well as in a team in a challenging environment.
  • Strong organizational and time management skills.
  • Customer-first mindset with an initiative-taking and solution-oriented attitude.
  • Proven experience in a business support or project coordination role, ideally within a global company or with Japanese stakeholders.
